A global pre-clinical Contract Research Organization (CRO) in the Greater Boston area was expanding operations into a new laboratory facility in Shrewsbury, MA. As part of the transition, the organization partnered with EquipNet to support the relocation of laboratory and office assets while enabling a smooth transition into the new facility and supporting ongoing operational needs across the organization.
The client needed to relocate more than 550 laboratory and office assets from Worcester, MA, including laboratory instruments, analytical equipment, ultra-low temperature (ULT) freezers, regulated samples, office furniture, employee workstations, and laboratory materials, all while maintaining active research operations.
A critical component of the project involved protecting temperature-sensitive regulated samples during transport using powered transportation solutions and calibrated live temperature monitoring. At the same time, laboratory equipment assigned to later move phases needed to remain operational until the scheduled week of transport, requiring detailed coordination, phased scheduling, and extensive asset tracking.
EquipNet developed and executed a phased laboratory relocation strategy designed to minimize disruption and maintain research continuity throughout the move.
The project began with onsite planning sessions to document assets, understand workflow requirements, and develop customized relocation plans. EquipNet also provided labeled totes to laboratory and office teams to streamline organization and packing ahead of the move.
During execution, EquipNet coordinated the relocation of laboratory equipment, regulated samples, office furniture, paperwork, and employee workstations from Worcester to the new Shrewsbury facility. The phased approach allowed scientists to continue using critical equipment until its assigned move phase, significantly reducing downtime.
To protect regulated samples, EquipNet utilized ultra-low temperature transportation methods supported by powered transport solutions and calibrated live temperature monitoring throughout transit. When a concern arose regarding one transportation vendor’s powered sample transport procedures, EquipNet proactively replaced the vendor to maintain compliance, operational reliability, and sample integrity.
EquipNet successfully relocated more than 550 laboratory and office assets while enabling the client to maintain ongoing research operations with minimal disruption.
The phased relocation strategy preserved research continuity, protected regulated samples through controlled ultra-low temperature transportation, and ensured laboratory equipment and employee workstations were delivered to their designated locations in the new facility.
EquipNet also cleared and emptied the Worcester facility in alignment with lease turnover requirements, enabling the client’s teams to become fully operational in the new Shrewsbury laboratory space according to schedule.
